The mission of StageQ is to celebrate and advance queer representation through theatre written by and about LGBTQ+ persons. StageQ is a volunteer based organization and Participating Theatre Company (PTC) at The Bartell Theater in Downtown Madison. Service on StageQ’s Board of Directors is a volunteer position without financial compensation. For more information about the organization visit the website www.stageq.org
The Treasurer reports to the Board of Directors the ongoing financial viability and stability of StageQ while monitoring the Organization's financial information.
Duties and Responsibilities:
Board Members will support the work of StageQ and provide mission-based leadership and strategic governance. They will contribute to StageQ’s culture, focus, effectiveness, and financial stability. Board members will recognize and disclose any conflicts of interest and make decisions that are in the best interest of the organization. Board members will ensure StageQ obeys applicable laws and regulations; follows its own bylaws; and adheres to its stated purpose/mission.
Show specific operations will be led by the Producing Manager and production teams who will report to the board. Any Board members directly involved in a production will recuse themselves for voting on issues directly related to that production due to the conflict of interest.
Specific responsibilities include:

Financial management and oversight:

Reconciling bank statements on a monthly basis.

Ensure the Organization maintains the appropriate financial books and records and that these are accurate and up to date

Review all transactions entered by the President and/or Vice President including cash receipts and disbursements, accounts payable/receivable, etc.

Review documentation (receipts) for expense reimbursements and debit card transactions

Verify that donations are handled appropriately and that grants are accounted for in accordance with the requirements of funders

The Treasurer is charged with reviewing transactions and reconciling the bank statement, so they should not have access to write checks, use the debit card, or initiate funds transfers from the bank accounts.

Internal controls:

Ensure the StageQ’s internal controls serve to prevent or detect fraud and misstated financial statements

Oversee fiscal records retention

Budgets:
-
Facilitating the preparation of an annual operating budget and production budgets
-
Monitoring and comparing actual revenues and expenses compared to budget

Reporting:
-
Monthly reporting of financial results to the Board of Directors

Prepare external reporting required by funding sources/grantors in a timely manner

Prepare required reports for the state of Wisconsin and the IRS Form 990/990EZ/990N in a timely manner

Confirm contributions:

Provide a receipt to the donor for every separate contribution received or verify such a receipt is provided if the donation is processed by a third-party

Committee Membership:
The Treasurer is automatically a member of the Executive Committee and will chair the Finance Committee. The Treasurer may be the chair of the Fundraising Committee as well.
Fundraising:
Board members are to make StageQ a philanthropic priority. The StageQ Board is responsible for fundraising. This includes securing and maintaining relationships with sponsors and donors. Donations to StageQ by Board Members are accepted, but not required. Board Member donations will be treated as any other; no additional authority or status will be given due to a donation.
Board Terms/participation:
StageQ Board Members will serve a two-year term to be eligible for re-appointment for additional terms. Board meetings will be held monthly and committee meetings will be held in coordination with full board meetings scheduled by the committee chair.
Qualifications:
This is an extraordinary opportunity for an individual who is passionate about StageQ’s mission and who has a track record of leadership. Selected Board Members will have achieved leadership stature in theatre arts, business, government, philanthropy, or the nonprofit sector. Their accomplishments will allow them to attract other well-qualified, high-performing Board Members. Ideal candidates will have the following qualifications:

Commitment to StageQ’s mission and strategic directions

An understanding of, and experience with, good financial management, budgeting and reporting practices

A professional accounting designation is preferred, but not required

An appreciation of the kind and level of financial information needed at a board level to support decision making
-
An ability to commit the time required to fulfill the responsibilities described
-
Familiarity with aspects of Theatre/performing arts.

Professional experience and accomplishments in theatre arts, business, government, philanthropy, or the nonprofit sector.

A commitment to and understanding of the queer community, preferably based on lived experience.

Personal qualities of integrity, credibility, and a passion for improving the lives of the community at large
